The Institute of Restorative Reproductive Medicine of America (IRRMA) is committed to protecting the privacy of its members and customers. IRRMA maintains safeguards to store and secure information about its members and customers. The safeguards may be physical, electronic, or procedural. This Privacy Policy (“Policy”) describes: (i) how the IRRMA collects information from its website and through your other voluntary interactions with the IRRMA (e.g., subscription or membership with IRRMA, communication with the IRRMA Member Support and Board of Directors, purchase of an IRRMA product, application for IRRMA membership, registration to an IRRMA event, participation in a member survey; and (ii) how IRRMA uses this information. With respect to website, please note that this Policy applies only to the IRRMA’s website and not to the websites of unrelated third-party companies or organizations to which the IRRMA provides links, or to any software that may be downloaded from the IRRMA’s website. By visiting IRRMA’s website (https://irrma.org), becoming a member or customer, or otherwise voluntarily submitting information to IRRMA, you agree to this Policy. IRRMA reserves the right to make changes to this Policy at any time; in such case, IRRMA will post a notice that this Policy has been modified by revising the “Last updated” date at the bottom of this page.

What information does the IRRMA collect?

IRRMA collects two types of information: (1) non-personally identifiable information for everyone who visits our website; and (2) personally identifiable information for members, registered website users, and anyone who purchases or registers for events, products, services, or requests information.

Non-personally identifiable information

IRRMA employs cookies to collect information about all visitors to IRRMA’s website, including pages viewed and the order visited, terms used in searching IRRMA websites, and products/resources investigated or purchased. IRRMA uses cookies to offer greater functionality, and the information generated from these cookies is used to help improve the website and user experience.

Users who do not desire the functionality offered by cookies may disable cookie functionality in their browsers or through settings on their mobile devices; however, users who do so may not be able to use some features of IRRMA websites. For example, a registered user or member must have cookies enabled in order to access ore “remember” registered-user/member sections of the IRRMA website.

For system administration and troubleshooting, IRRMA also logs the originating Internet Protocol (IP) address, the browser and operating system used, and information about your individual use, such as time and date of visits, duration of sessions, and other similar usage or system data. This also allows increased security for users and members of IRRMA’s website.

IRRMA collects this non-personally identifiable information from users who are browsing the public areas of the IRRMA website. IRRMA may review this information if a user or member account is associated with: (i) attempts to violate the security of IRRMA computer networks or server; (ii) activity that degrades the performance of IRRMA websites; or (iii) activity that might be related to copyright or other violations. IRRMA may also use this information in conjunction with personally identifiable information (as set forth below under “How does the IRRMA use information collected?”).

Personally identifiable information

In addition to the non-personally identifiable items listed above, IRRMA records the user’s name and member/customer ID number for all registered users (i.e., users who have logged into a password-protected area of an IRRMA website). In the course of using IRRMA’s website, a user may be asked to provide personally identifiable information (e.g., name, address, zip code, email address, telephone number, fax number, credit card payment information) in order to purchase a product, participate in an IRRMA activity, subscribe to a membership, donate to IRRMA, or otherwise interact with IRRMA. In addition, users may be asked to update their contact information.

IRRMA also collects email addresses provided via membership applications and renewals, website registrations, product purchases, member surveys, downloads of certain materials, email communication sign-ups, and comments made in discussion threads on the IRRMA website (member forums).

If you request a password reset, your IP address will be included in the reset email.

The IRRMA also maintains an internal membership database. The information in this database (e.g., profession; demographic information, such as education and specialty) is drawn from membership applications (account profile), member transactions, subscriptions, product orders, continuing medical education (CME) reporting, member surveys, and other correspondence between IRRMA and its members. In circumstances where a webinar, event or conference is co-hosted with another organization information entered on the registration form of that event may be shared with the co-hosting organizer or organization when noted. This information will be clearly stated during the registration terms and condition or agreement.

IRRMA does not disclose the credit card account information or activity of its customers. When members and customers pay using their credit cards, IRRMA submits this information encrypted to obtain payment from the appropriate clearing house. If credit card numbers are stored in IRRMA databases, they are encrypted.

How does the IRRMA use information collected?

IRRMA uses the information it collects to better serve members, customers, and visitors to IRRMA’s website in the following ways:

IRRMA services and products

IRRMA uses information collected to improve its web content, to respond to visitor needs and preferences, and to develop new products and services. For example, the IRRMA may combine non-personally identifiable information (e.g., data stored in cookies, user’s IP address) with personally identifiable information (e.g., user’s name, member/customer ID, email address) to suggest an event or resource by city, country or profession (student, nurse, teacher, clinician etc.) that may be of specific interest to the user.

Disclosure to third parties

IRRMA makes member contact information available in its online membership directory only to other members of IRRMA who have verified their membership status before entering the online membership directory and also agree to be listed in the directory. IRRMA may also make your contact information and/or other personally identifiable information publicly available in connection with IRRMA programs and events or for other purposes, as permitted by you. For example a speaker at a conference or webinar, with permission a short bio or profile image may be shared.

IRRMA also may share CME activity participation records with medical licensing boards (which may include CME reporting agents and/or contractors of those boards). Such records may include, but not be limited to: the member’s name and attendance or particpation of an IRRMA event or CME activity; the name and date of the CME activity; and the number of credits received for participation in the CME activity.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Emails

Once someone voluntarily provides an email address, IRRMA assumes it has permission to email that person with questions, transaction follow-up, upcoming events and advertisements, and to send bulk email messages. IRRMA collects data to track the effectiveness of emails, which enables IRRMA to better serve its audiences.

IRRMA does not sell, trade or rent the email addresses of its members and customers.

Disclosure required by law or emergency circumstances

IRRMA may release personal information to third parties in order to comply with legal requirements. Members and users will be notified should this circumstance arise.

Comments (Forums)

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media (Forums, Profile Picture)

If you upload images to the website, we recommend you avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

How long we retain your data

If you leave a comment or make a post in the forum area of our site, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. You can chose to delete your comment or post at any time.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where your data is sent

Member comments, form submissions and posted topics in the forums may be checked through an automated spam detection service.
